Wedding Wednesday: LLScene Bridal

Don’t let the word ‘day of’ fool you, we will assist in any wedding plans long before your big day. We provide all of our couples with a list of LLScene approved vendors to enhance their stress-free planning experience.

Day of Coordinating
A day of coordinator is for the couple that wants to do the majority of the wedding planning on their own, and see that their hard work is professionally executed without a hitch. Too often, couples rely on family and friends to make sure that things run smoothly the day of their wedding. This is a huge responsibility for someone if they don’t have event planning experience. LLScene eliminates the stress so that person is able to sit back and be a guest at their own wedding. They always say that "something" is bound to go wrong the day of a wedding, and from personal experience we know this to be true. With our top of the line organizational skills and ‘do what it takes’ attitude, we will make sure that "something" was thought of long before the day of your wedding.

4-6 months before wedding
Go over every detail and concern the bride and groom has at that time
Receive all current vendor information and file contracts that have been finalized
Recommend preferred vendors if needed

1-2 months before wedding
Document updated vendor information and arrangements
Go over wedding weekend schedule of events
Construct a ‘day of’ timeline
Receive ALL contact information of vendors so they aren’t bothering the bride and groom the day of the wedding
Organize the wedding party information and specifics for the ceremony and reception

1 month before wedding
Confirm final details with vendors & make sure that they all have our contact information
Make sure all vendors have a copy of the finalized timeline and any additional information pertaining to their role in your special day
Provide vendors with location information and directions to ceremony and reception locations
Create a packing list with bride & groom

Rehearsal
Point of contact for officiant
Distribute wedding timelines to wedding party
Organize the wedding party, recessional, ceremony, and processional with the wedding officiator
Re-confirm ceremony timeline and wedding program with officiant
Provide wedding party with details of where and when they need to be the day of the wedding

Day of Wedding
Point of contact for hair and makeup team upon arrival
Go over bridal party hair and makeup timeline which was facilitated two weeks before to make sure the day goes smoothly and on time
Coordinate food deliveries
Ensure that personal florals arrive on time ie: bridal bouquet, bridesmaid bouquet, groom boutonniere, groomsmen boutonnieres, and all family florals
Greet all vendors: entertainment, floral & decor, caterer...etc
Confirm that everything is being set up and arranged according to contract
Confirm that entertainment has the previously provided wedding party entrance music, first dance music, and any other music the bride and groom suggested
Meet with catering staff to go over menu and food timeline for cocktail hour and reception
Confirm table number and guests that have food allergies
Set up guest book, favor tables, champagne flutes, and cake cutting utensils
Set up table numbers, place cards & menu cards
Point of contact for photographer upon arrival
Go over must have ‘shot list’ with photographer
Call out names for ‘must have’ photos
Ensure transportation for the wedding party to arrive on time and instruct on when wedding party should depart

Ceremony
Set up programs, unity candles, kid cups, wine, or yarmulkes
Ensure the ushers and groomsmen arrive on time
Go over how to greet and walk guests to their seats as an usher
Point of contact for ceremony musicians and officiant
Re-confirm the music that ceremony musicians will play during the processional and recessional, as well as start times for each piece of music. Determine what hand signals will used to cue musicians
Communicate with bride and groom on how much time remains before the ceremony
Line up bridal party for their entrances
Cue musicians when bridal party is ready to walk down the aisle
Gather bride, groom, wedding party, and designated family and friends for photos

Pre Reception
Gather wedding party in holding room 15 minutes before cocktail hour is over
Encourage guests to find their place card and make their way to the reception area
Line up wedding party for entrances

Reception
Cue band, photographer, and videographer when important moments are about to take place, i.e. first dance, cake cutting, toasts and parent dances
Alert catering staff to distribute champagne before speeches
Cue father of the bride, maid of honor and best man before their speeches are about to take place
Distribute final vendor payments & gratuity to vendors at the end of the evening (we will have the final payments and gratuity collected beforehand so no one is bothered with this)
Prevent and fix any problems that may arise during the wedding
Ensure that every song suggested by the bride and groom is being played by the band/dj
Remain accessible to bride and groom through the entire night in case there are details that need to be attended to
Assist with after party information if bride and groom chose to do so
Pack up gift and miscellaneous ceremony and reception items so they are given to designated family member at the end of the evening
